You can send data to Hotel Center in two ways. First is manual entry — you type rates and availability directly into the Google dashboard. Second, much more convenient, is connecting through a connectivity partner. Your booking system then automatically sends room availability and rates to Google in real time. You don't have to offer a "just in case" cancellation option — but you must inform the guest before the contract is made. One truth about availability: one calendar for everything
The most common cause of overbooking in small properties is split calendars. Portals have their availability, your website has its own, and Google shows a third. A guest books through the portal, you think you have availability, and suddenly you have a problem.
The solution is simple but requires discipline: one source calendar that everything draws from — your website's booking system, the portal and Hotel Center. When someone books through Booking, availability automatically decreases on your website and in Google too. When a guest cancels — it returns to the pool everywhere.
